StorMagic was getting ready to launch new software products, and was looking for a way to automate emailing free trial licence keys to website visitors after they submitted a free trial request form on the Stormagic website. In addition, they asked us if we could store the licence key that was requested on the customer’s Salesforce record. The key problem to solve was how to create the workflow that would connect a bidirectional custom Salesforce integration between the following properties: Website Form <> Hubspot <> Salesforce <> Licence Key Server. Beyond this, the client asked us to ensure that each licence key request could be first reviewed and approved by its sales team in Salesforce.
We scheduled a discovery session with the client to first understand their business objectives for the project. We also took an inventory of their existing cloud infrastructure, which included a Hubspot account and a WordPress website. We wanted to ensure that their marketing team could have control over the form solution and email without technical assistance after the project ended. In addition, the sales team needed to find the approval process easy to use.
Our solution started with creating a Hubspot form that was integrated with the client’s Salesforce CRM. This ensured that free trial requests would automatically create a new Lead in Salesforce. After that, we created an email notification to the sales team that would allow them to review the request in Salesforce, and then approve or reject it. Finally, we wrote a custom Apex script in Salesforce that would send an API request to the licence key server, and return the licence key all the way back up the chain, from the Salesforce Lead record, to the Hubspot Lead record, ultimately making this information available on an automated email response to the customer.
StorMagic saw immediate labor savings benefits and increased customer satisfaction from the custom Salesforce integration. On the labor savings side, a process that had formally been done manually and separately from Salesforce record keeping was now automated and integrated. This gave the StorMagic sales team a much clearer picture of their sales funnel. On the increased customer satisfaction side, customers were immediately receiving a professionally designed email response to their form submission moments after submitting, allowing them to jump into their free trial of the software without delay.
