If your business is looking into the HubSpot ConnectWise integration, it’s likely because you’re trying to grow your MSP and/or IT services firm. More specifically, you’re probably trying to streamline your sales and service operations between marketing and technical delivery. The goal for most companies is to let HubSpot handle the early sales and marketing funnel (capturing leads, nurturing prospects, and managing deals) while ConnectWise remains the operational system of record from quote to delivery. While this idea is sound, the execution is technically nuanced enough that you can easily make mistakes. Here are five key things you need to know before you begin.

1. Keep Things Simple to Start: HubSpot for Marketing, ConnectWise for Sales

Our recommendation to our clients is to keep things simple with the integration. To start, use HubSpot to own marketing and early sales outreach efforts, and pass the sales-ready contacts to ConnectWise at the quoting stage. ConnectWise then becomes the source of truth for everything from the quote onwards. Taking this approach has several important implications for setting up and maintaining HubSpot. The first is that you’re avoiding reinventing the wheel. If you already have ConnectWise, there is a good chance that you’re utilizing its quoting and invoicing functions. Unless there’s an excellent reason to do so, there’s no point in rebuilding these functions in HubSpot, at least initially. Taking this approach will mean that your HubSpot setup time is minimized, your sales team will not have to learn a new quoting tool, and the complexity of the integration will be reduced to what is absolutely necessary.

2. Know your (Sync) Limits: Expect Structural and Syncing Limitations

Before getting into the meat of this section, it’s important we note something about the sync between HubSpot and ConnectWise. If you’re concerned about expensive custom API development, you can breathe a sigh of relief. There is already a marketplace connector solution built, which will save you time and money on this endeavor. That being said, you’ll need to include HubSpot Operations Hub as part of your subscription in order to map custom fields from ConnectWise to HubSpot.

This leads us to the greater topic of this section, which is a limitation of the HubSpot ConnectWise integration. Namely, HubSpot can’t send data to custom fields in ConnectWise, as the sync only supports standard fields. While HubSpot allows extensive customization on its end, you’ll need to map that data creatively into standard ConnectWise fields or accept that some information won’t carry over. This extends to lifecycle stages, custom deal stages, and contact details. Additionally, when a status is updated on a ConnectWise opportunity, that record becomes locked. This means HubSpot will no longer be able to modify it and may log an error, even though the sync is technically functioning as expected.

3. Keep Your Pipelines Aligned

One of the most common challenges in the integration is misalignment between HubSpot deal stages and ConnectWise opportunity stages. While HubSpot allows multiple pipelines, syncing these to ConnectWise can create duplicate or conflicting records unless each pipeline has a direct counterpart in ConnectWise. For this reason, it’s best to work from a single pipeline in HubSpot that mirrors the opportunity stages in ConnectWise. You should carefully map each stage (like Discovery, Analysis, Negotiation, Closed Won, and Closed Lost) in both platforms. Then, you must configure the sync settings to maintain one-to-one relationships between stages.

4. Control What Gets Synced (and When)

Precision is everything when integrating these systems. You don’t need to add every contact or company in HubSpot to ConnectWise. You may have marketing-only leads from events or prospecting tools like ZoomInfo who will never become clients. Use HubSpot’s lifecycle stage filters to ensure only qualified leads (e.g., those reaching the “Opportunity” stage) sync to ConnectWise. The same applies in reverse: ConnectWise may contain clients receiving training or services who don’t need to be added to your HubSpot marketing lists. Bidirectional sync exists, but you should carefully restrict it based on record type and sync rules. Use the “Limit” tabs in the sync configuration to define exactly what flows between systems, and when.

5. Plan for Record Merges and Data Cleanup

Merging records in HubSpot can lead to serious downstream issues in ConnectWise. When a contact or company is merged in HubSpot, the old records are deleted and replaced by a new record ID. This breaks the original sync link and causes ConnectWise to create new records. This can result in duplicate entries, orphaned tickets, and lingering associations with deleted records. After a merge, you may need to perform manual data cleanup to ensure quotes, tickets, and service records still point to the correct company. This is one of the more fragile parts of the integration and requires ongoing attention, especially if you’re actively cleaning and deduplicating your HubSpot database.

Beginning the HubSpot ConnectWise Integration

Integrating HubSpot and ConnectWise can dramatically improve the flow between marketing, sales, and service teams—if it’s done thoughtfully. The systems speak different languages when it comes to data structure, deal stages, and record handling, and those differences can cause sync errors or data duplication if not managed properly. By setting up clear lifecycle filters, limiting sync directionality, aligning pipelines, and planning for merge behavior, you’ll give your teams a cleaner, more reliable experience across platforms. Think of the integration not as a one-time setup, but an evolving process that requires governance and ongoing refinement.
