For catering companies, event planners, entertainment providers, or anyone selling services per event, manually creating quotes can turn into a bottleneck that stalls growth. But it doesn’t have to be that way.

If you run an events based business, you already know the pain: a new lead comes in from your website or Instagram ad, but before you can even think about converting it, you have to manually review the inquiry, collect more details, build a quote, and respond. Worse, you have to do all of this fast enough to beat the competition. Multiply this effort by anything more than 5 to 10 leads per week, and the time spent simply responding to leads becomes unmanageable.

Using tools like Zoho CRM, smart web forms, and quoting automation, you can streamline everything, from intake to invoice. From here, you’ll save time, reduce errors, and close more deals.

We recently worked with a client, a fast-growing oyster catering company with teams in nine cities. They were experiencing many of the woes of manual data entry, and were looking for guidance on how to automate quotes for events. With our guidance, our client was able to do it, and you can, too.

The Problem with Manual Quoting

At first glance, 6–7 minutes per quote might not sound like much. But when you’re processing hundreds of events, that adds up fast. The client estimated that managing 100 events meant building 200 quotes, manually.

This slow process caused three major pain points:

  • Time to Response: Delays mean leads could cool off or book with competitors.

  • Inefficiency at Scale: The more the client grew, the harder it became to keep up without hiring more admin staff.

  • Inconsistent Data: Manually entering contact and event info from forms to CRM increased the chance of errors.

The Solution? Zoho Forms + Zoho CRM Integration

Our first step was rethinking how leads came in and what information the customer was required to enter to request a quote. Instead of basic contact forms that simply gather contact information and non-standard text message inputs, we worked with the client to build out a custom event quote request form that asked the right questions upfront, such as:

  • Event date (chosen on embedded calendar for precision)

  • Location (linked to Google Maps for address validation and pricing by region)

  • Number of guests (ranged single choice dropdown menu, e.g. 5-10, 11-20, 21-30, etc.)

  • Type of services requested (multi-select dropdown, e.g. oyster shuckers, caviar servers, etc.)

  • Duration of event (single choice numeric dropdown starting with minimum number of hours, ranging to maximum number of hours, e.g. 3, 4, 5, 6, 7, 8)

By capturing these details upfront, we were then able to automate significant portions of quote generation that formerly required the client to follow up with customer via email and/or do manual calculations. Submissions from the Zoho form were sent straight into Zoho CRM, creating or updating contact records and assigning tasks to the right city rep.

Real-Time, Configurable Quotes

The next step was building a quote engine in Zoho CRM that could automatically calculate pricing based on the standardized details collected in the Zoho form above:

  • Service Type (e.g., oysters vs. caviar internal pricing, multiplied by client headcount)

  • Duration (hourly rates or packages)

  • Number of Servers Required (internally calculated based on service requested, duration of event and client headcount)

  • Travel Distance (Google Maps integration for accurate travel fees)

Once we understood how the client made these calculations manually, we simply reproduced those calculations via Zoho’s Deluge code to automatically calculate a quote, assign a task, and draft a templated email within Zoho CRM. The quote could then be reviewed by a team member for final tweaks before sending. The benefits to our Client were clear and immediate: (1) an average time savings of 3-4 hours a week (or 12-16 hours a month); (2) a higher conversion rate of lead to sale due to much quicker quote turnaround time with fewer errors made due to more precise information gathering.

Automating From Quote to Payment

Once a quote is approved, Zoho CRM takes over again:

  • Sends a branded, trackable email with the quote

  • Offers an e-signature option using Zoho Sign

  • Embeds a payment link directly in the email or landing page

  • Triggers automated follow-ups if no response is received

  • Sends a receipt and follow-up questions once payment is made

This not only speeds up the process but also eliminates missteps in communication between sales, operations, and finance.

Why You Should Automate Quotes for Events

What makes this approach so powerful is its adaptability for any business that prices per event. Whether you’re a wedding planner, corporate event organizer, mobile chef, or entertainment coordinator, these tools solve for:

  • Speed: Go from lead to quote to sale with minimal effort, ease your administrative burden, and close more of the business you want.

  • Consistency: Standardize pricing and messaging across your team and regions.

  • Scalability: Handle more leads without hiring more staff, and free up existing staff time.

  • Insights: Use CRM data to spot trends, like popular services or busy dates with premium pricing.

Track Growth & Optimize on the Fly

Our solution also allowed the Client to tracking bookings by geography, adding heat maps for hot markets, and building workflows for repeat clients. With all your data centralized in Zoho, you can forecast demand, staff more effectively, and improve service delivery over time.

Don’t Let Manual Work Slow You Down

If you’re still manually processing quotes, you’re wasting valuable time and risking lost business. With customized Zoho CRM workflows, Google Maps integrations, and real-time pricing automation, your business can run faster and smarter.
